Connecting website enquiries to a CRM or sheet
An enquiry on a website is only useful if it reaches a place you will look. Here are the routes from WhatsApp to a CRM, what each needs, and the trade-offs.
Owners search for “website to Google Sheets integration”, “HubSpot website integration” and “how to connect website leads to a CRM”. The need is simple: when a customer asks for something, you want it in one list with a name, a date and a status, so nothing is lost. How hard that is depends on how the enquiry arrives.
Start with how enquiries reach you today
| Route | What you get | Recorded automatically? |
|---|---|---|
| Phone call | A call in your log | Only in your phone’s history |
| WhatsApp message | A chat | No, you copy details by hand |
| Form that opens WhatsApp | A prepared message the customer sends | No; nothing is sent until they press send |
| Form that posts to a server | A stored record and often an e-mail | Yes |
| Third-party form or scheduling tool | A record in that tool | Yes, in that tool |
The sites I build use the first three routes: a call link, a WhatsApp link and an enquiry form that opens WhatsApp with the details filled in. Nothing is stored on a server, which keeps things simple and means the website cannot send enquiries to a CRM by itself.
Ways to get enquiries into a sheet or CRM
1. By hand, with a habit. After each call or chat, add a line to a sheet: date, name, need, status. It is slow, and for a modest number of enquiries it is also the most reliable. Many businesses should start here.
2. A form service. A third-party form tool collects submissions, notifies you and can send them to a spreadsheet or CRM. You pay its fee and your customers’ data passes through it. Check where it is stored and what happens if you cancel.
3. A CRM’s own form. CRM products usually provide embeddable forms that create a contact directly. HubSpot and Zoho are well-known examples; look at each provider’s current features and pricing before choosing. The form comes from the CRM and not from your site.
4. A custom connection. Your backend receives the enquiry, saves it and passes it on. This is the most flexible and the most work: it needs hosting, security, error handling and someone to fix it when a connection changes. It is not part of any package unless agreed in a written proposal; see frontend, backend and what your site needs.
What a WhatsApp enquiry cannot do
A click on a WhatsApp or call button shows that someone tried to reach you. It does not show that a message was sent, or that a sale followed. Counting enquiries from WhatsApp and phone calls explains how to count attempts honestly. For records of actual enquiries, you need your own log, however simple.
Data protection basics
An enquiry contains personal information. Wherever it is stored, you are responsible for it.
- Collect only what you need.
- Know where it is stored, who can see it and how to delete it.
- Do not paste customer details into places you do not control.
- If you store personal data, data-protection law may apply to your business; ask an adviser, since I cannot give legal advice.
A sensible order
- Keep call, WhatsApp and a simple form working. Test the form regularly.
- Keep a sheet by hand for a month or two.
- If the volume or the delay becomes a problem, add a form service or a CRM form.
- Build a custom connection only if the first three have a limit you can name.
If you tell me how many enquiries you get and how you handle them now, I can say whether a package covers it or whether part of it would be scoped separately. Message or call Harman.
